Understand how the work is scoped, what you provide and how records, queries and responsibilities are handled.
1. Describe your priority
Start with your business, the support you need, the periods involved and the condition of your records. Mention deadlines or known problems. The initial enquiry should not include accounting files, identity numbers, bank credentials or passwords.
2. Establish what is available
Before the scope is finalised, identify the relevant systems, available documents, last completed periods and known gaps. Any records needed for an assessment must be shared through an agreed channel.
3. Agree the engagement
Confirm the tasks, accounts or periods, outputs, responsibilities, fees, timeframes and communication arrangements. Agree exclusions and how changes will be handled. Sending an enquiry does not create a service engagement.
4. Arrange documents and controlled access
Agree the systems, permissions and sharing arrangements needed for the work. Where a system supports separate users and permission settings, discuss the appropriate access rather than sharing a main password. You retain control of your systems and financial authorisations. Specific security and sharing arrangements are confirmed for the engagement.
5. Work through records and queries
MATTLY works from the agreed source records, prepares the relevant workings and raises missing information or differences. You provide explanations, documents and approvals. A query remains unresolved until sufficient information is available; it is not treated as settled simply to finish a period.
6. Review the outputs and next steps
Review the records, schedules or reports agreed for the engagement. Confirm unresolved matters, required corrections and priorities for the next cycle. Reporting dates depend on the agreed work and when complete information becomes available.
For recurring support
A typical cycle starts with a document cut-off, followed by processing, reconciliations, queries and the agreed reports. Set who supplies each record, who answers questions and when the results will be reviewed. Outstanding items carry into the next cycle with a clear owner and explanation.
Discuss changes in transaction volume, systems or business activity early so the routine remains practical. Dates are set around the work and the availability of complete records rather than a universal turnaround promise.

Remote working and confidentiality
Remote support relies on organised document sharing, authorised system access where needed and a clear routine for communication. The engagement should identify which records are shared, who can access them and how completed work is returned or handed over.
The public website form only prepares an enquiry brief in your browser. It is not a secure document-upload service. Read the privacy notice for website information handling; engagement-specific arrangements must be agreed separately.
If information is delayed or the scope changes
Missing documents, delayed responses or additional periods can affect the work and delivery dates. Raise these early, agree priorities and confirm any revised scope or timeframe. If access or a sharing channel is unavailable, agree an alternative before moving confidential records.
At the end of an engagement
Agree the completed outputs, unresolved items, handover arrangements and the treatment of access and retained records. Do not assume the website privacy notice alone defines the full client engagement.
